Privacy policy

Sempli is an app for staff in hotels and restaurants: shift plan, time tracking, holidays, room cleaning and notifications. Accounts are only issued by your employer.

Who is responsible?

Your employer, as named in your employment contract, is responsible for staff data. Your employer decides what the app is used for and answers questions about data protection.

Provider of the app: Gut Hügle GmbH, Bottenreute 5-7, 88214 Ravensburg, Deutschland, team@guthuegle.de. For staff of the Gut Hügle Group, their employer within the group is also the controller.

Which data?

Name, preferred name, email address, contract data (hours, holiday entitlement), shift plan, clock times (in, out, breaks), absences without diagnosis, device (model, app version, notification token) and, if you upload it, a profile photo.

Housekeeping: when a room is started and marked clean. This gives average times per room type, never a ranking of people; after 90 days the name is removed. Photos of damage or lost items only if you take them.

Location: when you clock in with your phone, the app checks whether you are at the workplace. Only yes or no is stored, never coordinates or a history.

No advertising, no tracking, no analytics services, no sale of data.

Purposes and legal basis

Time tracking, shift planning, holidays, payroll and daily operations (rooms, damage, lost items), based on the employment contract and legal obligations: Art. 6(1)(b) and (c) GDPR, § 26 BDSG, German Working Hours Act and Minimum Wage Act.

Voluntary and revocable at any time (Art. 6(1)(a) GDPR): profile photo visible to colleagues, notifications on your phone.

Processors

Cloudflare (servers and database, data centres in the EU), Apple Push Notification Service and Google Firebase Cloud Messaging (delivery of notifications, without health information), Google Workspace (sending sign-in codes by email), Apaleo (room status, if the business uses Apaleo). The employer's payroll office receives what is needed for payroll. Data processing agreements are in place with all providers.

Retention

Clock times and payroll records for as long as the law requires (up to 10 years), then deleted. Room times lose the personal reference after 90 days. You can delete your profile photo at any time. The account is disabled when employment ends.

Your rights

Access, rectification, erasure (unless records must be kept), restriction, objection and data portability (Art. 15 to 21 GDPR). Withdraw consent in the app under Me › Privacy. You may complain to a data protection authority; for the Gut Hügle Group this is the State Commissioner for Data Protection of Baden-Württemberg.
